Purpose of the role:

  • To provide administrative assistance for the openings of future Hotels including but not limited to Sales & Marketing, HR and operational assistance
  • To support the Chief Executive Officer of Rogue City Hotels.
  • To help manage his workload and assist him in his tasks on hand.

Duties and responsibilities:


To assist in providing a secretarial and administration service to the CEO

To develop, maintain and review administration systems to achieve maximum efficiency.

To support The Hotel Team in projects, proposals, bids, etc. through research, consultation, team-management

To assist in creating lists of guest amenities, consumables and operating supplies and equipment for the new hotels and brand

To assist in ordering samples and cataloguing operating supplies and equipment for the pre-opening

To assist in creating and implementing HR procedures
HR administration – keeping all documents up to date and ensure all documents are filed and stored correctly and according to GDPR

To check daily press articles and social media posts of the business on websites and other platforms

To facilitate meetings, schedule debriefing meetings so follow up action can be implemented. Also by arranging refreshments, seating and taking minutes if required to do so.

To co-ordinate staff and board meetings and write up minutes

To assist in compiling Board papers and ensure they are sent in good time for meetings.

To circulate reports, minutes and agendas for Board and Sub-committee meetings. To liaise with the Chairman and other Board Members on various matters as required.

To be responsible for receiving enquiries and providing an effective referral service to service users.

To liaise positively and professionally with colleagues and visitors;

To be amiable, professional, and approachable at all times.


To organise Images and content
To assist in copy writing
To maintain presence and support social media engagement
To monitor and report on e-marketing
To create and maintain regional press list
Competitor Research – Glasgow & Cambridge
To monitor live chat function on websites
To assist with reporting
To draft Group proposals
Any other duties commensurate with the accountabilities of the post.

This list is not exhaustive but provides a summary of the role’s responsibilities
2 years previous experience in a similar role;

Technical Knowledge
Good knowledge of computing, a good command of written English and Microsoft office
